Time Off Policy and Expectations

Employees will submit a written request for vacation time to the Clinical Supervisor. It is expected that a new employee will not seek any time off during their first three months.

Vacation requests are to be done in writing at least 30 days prior. At no time will there be more than 30% of our therapist staff away for vacation in any given month. Vacation time is granted on a first-come-first-serve basis by the Clinical Supervisor. Reflections Counseling and Consulting Services, LLC does not provide paid vacation for therapists.

In preparation for vacation or time off, the therapist will notify clients and change voicemail to indicate when the therapist will be unavailable,when they will be available, who will cover for them and how to reach this person. Additionally, the therapist will set their RCCS Business email to an auto response that alerts clients that they are away and the date of return. The therapist will also leave information with the Clinical Supervisor on how to reach them in case of an emergency. The number of days of vacation is based on the following timetable:

After three months of employment, employees may take one week (5 days) of unpaid vacation at a time (i.e. no vacation the first three months and two separate weeks of vacation during the next nine months (10 days total) off, with these weeks being in separate months and non-consecutive.

No vacation time is allowed during the first three months of employment due to the importance of establishing a full caseload and learning clinical and office protocol.

Unused vacation time cannot be used in the following year(s).

During the second and ongoing years of employment, employees may take four weeks (20 days) of unpaid vacation (two weeks back to back/consecutive and a third and fourth separate/non-consecutive week during a different month).

Employees must sign up for vacation time in advance and be approved by the Clinical Supervisor.

Generally, you are required to provide at least 24 hours’ advance notice to the Clinical Supervisor of your intent to use vacation time. For use of vacation time in excess of 8 hours, you are required to provide at least two (2) weeks’ advance notice to the Clinical Supervisor to ensure timely coverage of patient appointments and/or calls. In addition to notifying the Clinical Supervisor of your vacation, it is recommended that you adjust your TherapyNotes schedule and Google Calendar so new clients aren’t scheduled while you are out.
